What we usually do is cast about for a likely venue, try to set a day and let the word get around via especially equipped parties and dealer tables ... and who shows up does. There've been some times that was kind of awkward -- I think in San Jose we had a table that was a dayride for a fast pony to get from one end to another -- made the usual group photo really rough!
